POSITIONSUMMARY :

Underthe supervision of the Department Manager in the Maintenance Department, theAdministrative Specialist / Data Collection serves as the primary performing awide variety of administrative and coordination duties related to all aspectswithin the Maintenance Department.

The Admin Specialist / Data Collection gathersinformation ensuring that Daily Personnel Status Reports are submitted on timeto include updating HRIS.

Process Access badge applications, CAC and Smart cardfor Foreign National, leave request, Work Schedule / Overtime, and consolidateand submit Mileage Report for the department.

Tracked trainings, Certificatesand others that applies to the Manning. Assigned as Document Control Clerk toensure all IOPs, WI and forms are in standard format and current documentationsare maintained.

  • Knows how to track data coming utilizing the Maximo Reportsproduced by the Department. A successful data specialist must collect,organize, merge, track, and analyze data;
  • recommend adjustments as required;provide administrative and special project support; facilitate the developmentof new databases;
  • and maintain and enhance existing databases. The DataCollection Specialist must possess excellent written and verbal communicationskills, strong analytical and problem-solving skills and be familiar with statisticalanalysis and use of statistical software.

    Must possess professionalinterpersonal skills and the ability to work well with others, as well as theability to work independently, in a fast-paced environment with changingpriorities.

    MAJORJOB ACTIVITIES :

  • Performs all duties of an AdminPerson along with services providedof a Data collector at the Maintenance Department Level.
  • Assist the Management Teamswith data trackingReports and Spreadsheets on Projects and others withintheir Areas.
  • Collects Data pertains to the Department Corrective Action Reportsand Helps to developed milestones to ensure the closure timelines are met.
  • Creates reportsand data extracts to support the FMS data maintenance processes.
  • Adhering to data standards,policies, processes and procedures.
  • Works as anassistant to the Department Leadership so that information flow is captured as needed.
  • Communicatingdata maintenance or quality status and issues.
  • Serves as theDocument Control Monitor for Forms and other Documents created within the Department.
  • Participates inand drives continued process and quality improvements.
  • Manage repetitivedata processing tasks with accuracy and efficiency.
  • Ask appropriate and inquisitive questionsregarding the QualityControl Data sent in by the AdminPersonnel throughout theDepartment.
  • Performs otherduties as assigned.
  • MATERIAL& EQUIPMENT DIRECTLY USED :

    Personal computer / associated software andother Office Equipment

    WORKING ENVIRONMENT :

    Work is generally conducted in an office environment. However, duties may occasionally involveworking outside with a potential exposure to extreme temperatures.

    PHYSICALACTIVITIES :

    Work may require heavy lifting up, stooping, climbing, prolongedstanding, prolonged sitting, and working with or in areas where a potentialcould exist for exposure to physical, chemical or biological agents.

    Employeeuse of personal protective equipment (PPE) is required for some situations. PPEincludes but is not limited to head, foot, torso, respiratory, vision, andhearing protective devices.

    Must comply with all Fire and Safety Regulationsand Camp / Base policies.

    Qualifications

    MINIMUMQUALIFICATIONS :

    Education / Certifications : Two yearsrelated experience may be substituted for one year of education, if degree isrequired.

    High School graduate or equivalent. Experience :

    Three years of related experience inAdministrative Specialist / Data Collection.

    Skills : Good organizational skills.

    Computer proficiency in Microsoft OfficeExcel, PowerPoint, Outlook, and Word Ability to work with very diverseworkforce

    Experience in data collection / Admin.

    SUPERVISORY / BUDGETRESPONSIBILITIES :

    Kuwait

    MaintenanceClearance Level required at Start Date : NACI
