Responsible for performing all administrative & secretarial activities including : screening incoming calls, responding to client enquiries, preparing correspondences, consolidate reports, and scheduling meetings.

Policies & Processes

Implement the SMM Department’s policies and processes and comply with Ghaliah’s other policies.

Maintain sufficient office supplies of stationery and equipment.

Administration & Secretarial Activities

Prepare and distribute various documents such as : letters, memos, correspondence, agendas, notes, minutes of meetings etc.

Handle and screen incoming calls, as well as redirecting calls (if applicable), respond to client enquiries in an efficient and a timely manner and make notes of essential information.

Make photocopies and faxes, as well as filing important records / documents.

Maintain sufficient office supplies of stationery and equipment.

Communication

Schedule and notify all concerned parties of meetings, appointments and venues on time.

Respond to all enquiries and questions both (writing and verbally).

Documentation & Reporting

Transcribe dictation, compose and prepare confidential correspondence, reports, and other documents as required.

File and retrieve documents, records, and reports, in addition to preparing responses to correspondence containing routine enquiries, type memos and correspondences.

Organize, file and maintain all paperwork, documents and computer-based information in the assigned filling system.

Assist the SMM team in tasks / projects when needed.

Perform other duties related to the job as assigned by the Direct Supervisor

Reports

Prepare reports that cover all the SMM activities and other reports for the Direct Supervisor.
